Event Planner Diaries: January 2019

Hello Friends,

My name is Ruby and I am lead event planner at Royal Blue Events. As someone who is both actively involved in developing this business and executing some awesome events, I thought this might be a neat opportunity to share my event planning diary. You know, the things I do daily, I thought this might be particularly helpful for those budding event planners out there that want to know what it’s really like to be an event professional.

I am sharing my diary from the middle of last week that involves two site visits, completion of a communication plan, call from a prospect client and project planning for a summer event.

Here’s how it all went down:

5:30am: Started the morning right with a glass of water and fifteen minutes of meditation. I then enjoyed my BIG mug of coffee, whilst reviewing my to-do list. I really value this first hour in the day, it’s my quiet time to get ahead and prepare for the day. Afterall, a day without a plan can quickly become a day wasted!

6:30am: Packed the kids lunches and prepared breakfast, woke them up and got ready for the school run.

8:45am: Back in the office and made some final tweaks to an event communications plan and sent to the client for final review and approval.

10:00am: Responding to emails and mapping out the plans for a large summer time event, next step is to build the detailed project plan / critical path.

12:00pm: Made myself a quick sandwich to go and left the office for an afternoon of site visits.

1:00pm: Site visit number one, downtown Toronto for series of speaker events this year. This venue is a bit of a hidden gem and we are looking forward to hosting some exclusive events in this trendy hot spot.

2:00pm:  Site visit number two with the client. This location is for a summer event. We cannot wait to share the details of this amazing space with you. Stay tuned!

3:30pm: Received a call from a prospect client. We had a great conversation about their signature event this spring. Booked a meeting for a consultation next week.

4:00pm: Started putting together the framework for a new event proposal. Pleased I made good progress with this one.

5:00pm: Picked up kids!

And there you have it, a day in the life of an event professional.

Tomorrow is a brand-new day, and I am excited about getting closer to achieving my goals. Are you on track to meet your daily goals?
